Privacy policy
This is a small, quiet website. It has no accounts and one enquiry form, and nothing that measures you runs unless you accept the banner. This page sets out what little it does collect, what happens when you write to us or send the form, and what you can ask us to do about it.
Who we are
HotelRoomDisplay is operated by Correct Tech Solutions, which is the data controller for the personal data described on this page.

What this policy covers
This policy covers the public website at hotelroomdisplay.com — the pages you are reading now.
It does not cover the content a hotel chooses to publish to its own screens, or the administrative system hotels use to manage them. Where we handle data on behalf of a hotel using the service, we do so as a processor under the agreement with that hotel, and that agreement governs it. If you are a guest and have a question about what a particular hotel shows on its screens, please ask the hotel.
What we collect
When you browse the site
We use Google Analytics (GA4) to count visits and see which pages are read. It loads only if you accept the cookie banner — decline, or simply ignore it, and the analytics script is never requested and no analytics cookie is set. If you accept, Google receives your IP address, the pages you view, and your browser and device type, and sets the cookies listed below. We have IP anonymisation as applied by Google by default, we do not use the data for advertising, and we do not combine it with anything else to identify you.
We do not run advertising or any other tracking on this website, and there is no visitor profiling.
Our hosting provider records standard server logs when a page is requested. These contain your IP address, the page requested, the time of the request, and your browser and device type. We use them only to keep the site running and to protect it from abuse, and we do not use them to identify individual visitors.
When you send the enquiry form
The contact and request-information pages carry the same short form. When you send it, we receive your name, your business name, your email address, your phone number and the type of business you run, and keep them in our own database. We do not record your IP address or browser details with it. We use what you send to answer you and, where it leads to one, to carry on the conversation about supplying the service. We do not add you to a mailing list.
When you write to us
If you email us instead, we receive your email address, your name if you give it, and whatever you choose to write, and use it in the same way.
Cookies
This website sets one cookie of its own, and only after you answer the banner:
- hrd_cookie_consent
- Records whether you accepted or declined, so the banner does not ask again. Expires after one year. Strictly necessary — it exists to honour your choice.
If, and only if, you accept, Google Analytics sets two more:
- _ga
- Distinguishes one browser from another so repeat visits are not counted twice. Expires after two years. Analytics — set only with your consent.
- _ga_EJCKCSS70E
- Keeps the state of the current visit for the same purpose. Expires after two years. Analytics — set only with your consent.
There is no advertising cookie on this site. Declining leaves the analytics cookies unset; if you accepted and then change your mind, the site stops sending anything to Google immediately, and you can clear the cookies in your browser.
You can change your mind at any time using the Cookies link in the footer of any page, or by clearing cookies for this site in your browser.
Who else is involved
These third parties see data in the ordinary course of serving this site:
- Amazon Web Services hosts and delivers the site, and hosts the database that keeps form submissions. Your IP address and request details pass through their infrastructure and appear in the server logs described above. AWS acts as our processor.
- Google Fonts serves the typeface used on these pages. Loading it means your browser makes a request to Google's servers, which makes your IP address and browser type visible to Google. No cookie is set by this.
- Google Analytics counts visits, but only for visitors who accept the banner. Google acts as our processor for this, and receives the data described above.
- YouTube shows the video on the request-information page, in its privacy-enhanced mode (youtube-nocookie.com). Opening that page makes your browser request the player from Google, which sees your IP address and browser type. YouTube states that this mode does not set its cookies unless you play the video; if you do play it, YouTube's own privacy policy applies to that viewing.
Beyond this, we do not sell, rent or share your personal data with anyone. We may disclose data where the law requires it.
Legal basis for processing
- Server logs and site security — our legitimate interest in keeping the website available, secure and working correctly.
- Answering your form or email — our legitimate interest in replying to enquiries about our service, and where relevant, taking steps at your request before entering into a contract.
- The consent cookie — strictly necessary to give effect to the preference you set.
- Google Analytics — your consent, given through the banner and withdrawable at any time.
How long we keep it
- Server logs: a short retention period set by our hosting provider, typically no more than 90 days.
- Form submissions: for as long as needed to deal with your enquiry, then deleted within 24 months of our last contact with you, unless the enquiry has led to a contract.
- Email correspondence: for as long as needed to deal with your enquiry, and afterwards only where we have a business or legal reason to keep it.
- The consent cookie: one year, or until you clear it.
- Analytics cookies: two years, or until you clear them. The reports in Google Analytics retain visit data for 14 months.
Where your data is held
The site, and the database that keeps form submissions, are hosted in the European Economic Area (Amazon Web Services, Ireland). Where a provider transfers personal data outside the UK, that transfer is covered by an adequacy decision or by the International Data Transfer Agreement or Addendum, as appropriate.
Your rights
Under UK GDPR you have the right to:
- Ask what personal data we hold about you, and get a copy of it
- Ask us to correct it if it is wrong, or complete it if it is partial
- Ask us to delete it
- Object to, or ask us to restrict, how we use it
- Ask for it in a portable form, where that right applies
- Withdraw consent at any time, where we rely on consent
Write to privacy@hotelroomdisplay.com and we will respond within one month.
If you are not happy with our response, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
Children
This website is aimed at hotels and the people who run them. It is not directed at children, and we do not knowingly collect data about them.
Changes to this policy
We may update this policy from time to time. Any change appears on this page, with the date at the top revised. If a change is significant, we will make it plain on the site.
